Who we are
Grupop is an online classroom rewards platform designed for use in Irish primary schools and Irish special schools, operated by Grupop Classroom Limited out of Co. Tipperary, Ireland. You can contact us at welcome@grupop.ie.
By registering for and using Grupop you agree to these Terms of Service. Please read them carefully before creating an account.
1. Eligibility
Grupop is designed for use by qualified teachers in Irish primary schools and special schools. By registering you confirm that:
- You are a qualified teacher or educational professional, or a student currently enrolled in a recognised teacher training or educational professional programme
- You are aged 18 or over
- You are using Grupop for legitimate educational purposes
- You have obtained or will obtain authorisation from your school before entering pupil data into Grupop
Pupils do not create accounts or provide personal data directly to Grupop. Pupil access is granted by the teacher via a class code or QR code, and all pupil data is entered and managed by the teacher on their behalf. Pupils may log in independently from school or home using their class code.
2. School authorisation and teacher warranty
By registering for Grupop and entering pupil data, you warrant and confirm that:
- You have obtained explicit authorisation from your school to use Grupop as a digital educational tool in your classroom
- Your use of Grupop is covered by your school’s Acceptable Use Policy and other relevant policies
- You are entering only pupil first names and no other personally identifiable pupil information
By entering pupil data into Grupop, you are acting in your capacity as an employee of your school and under the authority of your school, which is the Data Controller for pupil data. Grupop acts as a Data Processor on behalf of your school.
If it is subsequently found that you did not have proper authorisation to use Grupop or to input pupil data, liability for any resulting data protection breach rests with you and/or your school as the Data Controller.
3. Your account
When you register for Grupop you are responsible for:
- Providing your accurate email address
- Keeping your password secure and confidential
- All activity that occurs under your account
- Ensuring your account is used only by you
You must notify us immediately at welcome@grupop.ie if you suspect unauthorised access to your account.
Each Grupop account is personal to you and may not be shared with other teachers. One account = one active class at any time.
After you start your free trial you must confirm your email address before you can set up your class or enter pupil data. Until your email is verified, account access is limited to completing signup.
4. Subscription and payment
Subscription options
Grupop subscriptions follow Grupop’s academic year, which runs from 1st August to 31st July and is aligned with the Irish primary school year. In these Terms, “Grupop’s academic year” means that period. We offer two subscription options:
- Monthly Subscription - €5.50 per month, billed through recurring monthly payments on the 1st of each month (your first payment may be prorated; see below)
- Annual Subscription - €28.80 for the remainder of the current Grupop academic year from the date you subscribe
The last day of access to Grupop at the end of each Grupop academic year is 31st July. Subscriptions do not automatically continue after that date. If you wish to use Grupop in a new Grupop academic year, you must renew by choosing one of the subscription options above.
In these Terms, renewal means starting a new Monthly or Annual Subscription for a new Grupop academic year after 31st July. Monthly billing means the automatic charges on the 1st of each month under an active Monthly Subscription during the current Grupop academic year. Monthly billing is not a renewal.
Monthly Subscription
Under a Monthly Subscription, you are billed through Stripe for the current Grupop academic year. When you first subscribe, your initial charge may be prorated for the period from the start of your paid subscription until the next 1st of the month. Thereafter, the full monthly fee is charged automatically on the 1st of each month until and including 1st July for that Grupop academic year. These are recurring monthly payments under your Monthly Subscription; they are not a renewal. No monthly charge is taken after 1st July for the current Grupop academic year.
You may cancel a Monthly Subscription at any time from Account → Subscription in Grupop (you will be asked to confirm), or by contacting us at welcome@grupop.ie. If you cancel, no further monthly charges will be made. Your access to Grupop continues until the end of the current paid month in which you cancel, or until 31st July in that Grupop academic year if that is sooner. A Monthly Subscription does not renew for the next Grupop academic year after 31st July; see Renewal below.
Annual Subscription
Under an Annual Subscription, you pay once for access for the remainder of the current Grupop academic year from the date you subscribe until 31st July. You may cancel an Annual Subscription at any time from Account → Subscription in Grupop or by contacting us at welcome@grupop.ie. If you cancel, no further charges will be made for the current Grupop academic year and your access continues until 31st July in that year. An Annual Subscription does not automatically renew for the next Grupop academic year. If you wish to use Grupop in a subsequent Grupop academic year, you must renew by choosing one of the subscription options.
Billing
Subscriptions are billed through Stripe, our payment processor. By subscribing you authorise Stripe to charge your chosen payment method for the applicable subscription fee. Your payment details are handled securely by Stripe - Grupop does not store your card details.
Before you confirm payment, Stripe shows the amount due at checkout (including any prorated first charge under a Monthly Subscription), your chosen plan, and upcoming billing dates where applicable. Stripe also sends email receipts for each payment. If anything on the checkout screen does not match what you expected, do not complete payment - contact us at welcome@grupop.ie first.
Trial and cooling off periods
Grupop offers a 7-day free trial, which may be used once per account, so that you may use the service before deciding whether to continue with a paid subscription. When you start the free trial, you choose a Monthly or Annual Subscription and provide payment details through Stripe; no charge is made until the 7-day trial period has ended. If you cancel during the trial from Account → Subscription in Grupop or by emailing welcome@grupop.ie, no charge will be made and you will retain access to Grupop until the end of the trial period. If you do not cancel, your first payment for the plan you chose is taken when the trial ends, in accordance with the billing rules for that plan above. The free trial may be used once per account.
Your billing period and 14-day cooling off period begin on the day you confirm your subscription (including when starting the free trial), even if that day lies within your 7-day free trial period.
Renewal
On 31st July each year, access to Grupop under your current subscription ends and your class is automatically archived. Subscriptions do not automatically continue into the next Grupop academic year.
To use Grupop in the next Grupop academic year, you must renew by (1) subscribing for the new Grupop academic year through Stripe Checkout, and (2) submitting your carry-forward choices on the renewal page in Grupop. We will email you a reminder.
Both steps must be completed by 30th October. After you have paid for the new academic year, you will be asked to choose which of the following you would like to carry forward: your class data, resource configurations, and image library. Anything you choose not to keep is deleted immediately once you make your selection.
If you pay for the new academic year but do not submit your carry-forward choices by 30th October, or if you do not renew at all by that date, your entire archived class is permanently and irreversibly deleted on 31st October (deletion runs early that morning).
Refunds
In line with EU and Irish law, you are entitled to a 14-day cooling off period. If you choose to cancel your subscription during that period, you will receive a full refund. We do not offer refunds once the 14-day period has elapsed. If you experience a technical issue that prevents you from using Grupop, please contact us at welcome@grupop.ie and we will work to resolve it promptly.
5. One class per account
Each Grupop account supports one active class at a time. This is by design - Grupop is intended for individual teachers managing their own classroom of pupils.
Creating multiple accounts to circumvent this limitation, or sharing account credentials with other teachers, is a breach of these Terms and may result in account suspension.
6. Acceptable use
You agree to use Grupop only for lawful educational purposes and in accordance with these Terms. You must not:
- Use Grupop for any purpose other than educational group management and rewards within a school setting
- Upload content that is illegal, harmful, offensive, or inappropriate for your school setting
- Upload personally identifiable images of pupils
- Enter pupil surnames, dates of birth, or any personal information beyond first names
- Attempt to access, interfere with, or disrupt Grupop’s systems or other users’ accounts
- Reverse engineer, copy, or reproduce any part of the Grupop platform
- Share access codes or QR codes generated through Grupop beyond each individual member of your class
7. Pupil data and GDPR
Grupop will process pupil data only as instructed by you on behalf of your school and only for the purpose of providing the Grupop service. Please see our Privacy Notice for full details of how we handle data. The Data Processing Agreement (DPA) is incorporated into these Terms of Service.
8. Uploaded content
Teachers may upload images for use in visual schedules and other teacher resources. By uploading content to Grupop you confirm that:
- You have the right to use and upload that content
- The content does not contain photographs of pupils or other personally identifiable information about children
- The content is appropriate for your school setting
- The content does not infringe any third party intellectual property rights
We reserve the right to remove any uploaded content that breaches these conditions.
9. Data retention and deletion
Class data, pupil information, resource configurations, and uploaded images are retained in accordance with our Privacy Notice and the following schedule:
- 31st July - all active classes are automatically archived at the end of the Grupop academic year
- Before 30th October - to retain data for the next Grupop academic year you must subscribe for that year and submit your carry-forward choices in Grupop. Both steps are required. After payment, you choose which of your class data, resource configurations, and image library to carry forward. Anything you choose not to keep is deleted immediately once you submit your selection
- 31st October - if you have not completed renewal (payment and carry-forward choices) by 30th October, or if you paid but did not submit your choices by that deadline, your entire archived class is permanently and irreversibly deleted (deletion runs early that morning)
- Teacher account data - deleted on 31st October alongside class data if you have not renewed for the next Grupop academic year. A minimal billing record is retained for 7 years as required by Irish tax law. Teachers who renew retain their account data continuously.
It is your responsibility to complete renewal (payment and carry-forward choices) before 30th October if you wish to retain any of your data. Grupop cannot recover deleted data after this point.
10. Intellectual property
All intellectual property in the Grupop platform - including but not limited to the software, design, graphics, animations, Pop Pal characters, cauldron mechanics, and brand - belongs to Grupop Classroom Limited. Nothing in these Terms grants you any rights to that intellectual property beyond the right to use Grupop as a subscriber in accordance with these Terms.
Content you upload to Grupop (such as images for visual schedules) remains your property or the property of its original rights holder.
11. Availability and changes
We aim to keep Grupop available at all times but cannot guarantee uninterrupted access. We may carry out maintenance, updates, or improvements to the platform from time to time which may result in temporary unavailability.
We reserve the right to modify, update, or discontinue features of Grupop. We will give reasonable notice of any significant changes by email.
We reserve the right to update these Terms of Service. Continued use of Grupop after changes are notified constitutes acceptance of the updated Terms.
12. Suspension and termination
We reserve the right to suspend or terminate your account if you breach these Terms, engage in fraudulent activity, or use Grupop in a manner that could harm other users, pupils, or the platform.
You may terminate your account at any time by contacting us at welcome@grupop.ie. Upon your requesting termination, all of your data - with the exception of the billing record that must be kept according to Irish law for a period of 7 years - will be archived for a period of 7 days before being irreversibly deleted unless you withdraw your termination request during that time.
13. Limitation of liability
To the fullest extent permitted by Irish law, Grupop Classroom Limited shall not be liable for:
- Any indirect, incidental, or consequential losses arising from your use of Grupop
- Loss of data beyond what is described in our data retention policy
- Any interruption or unavailability of the service
- Any data protection breach resulting from a teacher’s failure to obtain proper school authorisation before using Grupop
- Any actions taken by teachers or pupils in connection with their use of Grupop
Our total liability to you in connection with Grupop shall not exceed the subscription fees paid by you in the 12 months preceding the event giving rise to the claim.
Nothing in these Terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under Irish law.
14. Governing law
These Terms are governed by the laws of Ireland. Any disputes arising from these Terms or your use of Grupop shall be subject to the exclusive jurisdiction of the Irish courts.
